Job Summary
The Patient Care Representative assists the front office and the provider in routine patient care in the office setting. Working in concert with the physician/mid-level practitioner, this individual fosters a smooth and efficient patient flow. Must be detail oriented with good interpersonal and customer service skills. Assists/directs patients with questions and inquiries. Works cohesively between Healthcare Network of Southwest Florida and site collaborative partners. Duties are performed under the supervision of a Lead RN or Lead LPN and the Office Manager. This is a Float position which will require travel between HCN locations within the area if needed.
Responsibilities and Standards
Medical Assistant:
Assist providers and nurses with patient care activities.
Obtains accurate vital signs from the patient and reports abnormal findings verbally to nurse or provider.
Accurately enters documentation into E.H.R. (Chief Complaint and Vital Signs)
Accurately obtains health history and rectifies medication.
Serves as translator between the patient and healthcare provider when needed.
Accurately processes electronic lab and diagnostic orders.
Fills in logbooks and special forms (pertinent to department)
Administers medications by oral, Intramuscular, subcutaneous, intradermal routes.
Performs phlebotomy.
Performs department specific procedures.
Calls in prescriptions
Performs waived testing as ordered by the provider.
Follows policies and procedures.
Logs results per policies and procedures.
Keeps exam rooms and treatment areas clean per infection control policies and procedures, and well stocked.
Accurately utilizes medical equipment as trained.
Reprocesses medical equipment according to policies and procedures.
Assists with monthly reports, i.e., hand hygiene, infection control, equipment checklist.
Maintains use of universal precautions at all times.
Performs other related duties as indicated or when requested by supervisor.
Assists in referral process within integrated care model and outside specialty providers.
Assists patients in pharmaceutical assistance programs as needed.
Orders and maintains inventory of medications.
Maintains the sample log and pharmaceutical log
Checks for expiration dates and disposes of expired medications correctly and in a timely manner.
Preloads patient's medical information into the Electronic Health Records
Administrative Duties:
Obtains current patient information from established and new patients.
Perform check -in and check-out duties.
Proficient in-patient workflows and multitasking.
Confirms accuracy of all registration data and paper work on file (e.i consent forms)
Identifies payer source, verifies insurance eligibility, financial status and assigns correct pay type.
Entering and updating appropriate insurances changes and properly completing the check-in process to notify clinical staff that patient has arrived.
No error in insurance verifications/updates.
Collects all copays or deductibles.
Demonstrates the ability to collect office charges, post charges to patient accounts and accurately manage cash drawer.
Assists patients with completion of paperwork when necessary.
Understands and follows Sliding Scale policy.
Accurately pre-screens medical/dental records.
Performs prescreening process for add-on appointments.
Prints schedules for upcoming appointments.
Verifies insurance eligibility and obtains authorizations for dates of service.
Schedules appointments.
Performs patient identifiers
Date of birth and name.
Creates new account if patient not in the system.
Performs the duties of the No Show and Cancelation/Reschedule Appointment policy.
Routinely demonstrates superior customer service skills.
Answers telephone in a timely and polite manner, preferably within three rings.
Communicates with customers in a courteous, professional, cooperative and mature manner.
Recognizes and responds appropriately to violent/abusive situations, bomb threats, fire and emergency situations.
Accurately takes messages and conveys information to recipient.
Transfers call to physicians and nurses when medically indicated.
Protects/observes patient confidentiality per policies and procedures.
Scans information into Electronic Health Record
Bar codes medical documents prior to scan in to the record.
Scans medical documents per protocol.
Accurately imports registration documents into patient's electronic health record.
Accurately enters procedure codes with correct diagnosis.
Accurately reconciles charges for the day.
Drawer balances at the end of the shift.
Performs other related duties as indicated or when requested by supervisor.
Job Specifications
Efforts are generally responsive to work flow, must be able to work independently and prioritize work on a daily or weekly basis, subject to occasional reprioritization by others
Impact of work performance could result in a noticeable impact in the organization and may involve management attention.
May be required to perform the duties of other employees, including supervisors/managers, in their absence.

Experience
Education/Training Level:
o High School diploma or GED equivalent
o Graduate of an accredited medical assistant program
Licenses and Certifications:
o Certification or Registration as Medical Assistant
Communication Skills:
o Bilingual skills preferred.
o Demonstrates good oral and written communication skills.
Technology Skills:
o Effectively uses Electronic Health Records
o Proficient on computers
o Demonstrates knowledge of proper, safe, efficient usage of current office equipment/software.
